Summary
Over the previous 10 years, the largest school district in Beaver Creek’s community had become a case study in the advantages of partnering with them to offer the best possible learning opportunities to its students. Erik had been on the ground floor of these efforts and as of 2022, Beaver Creek had become the school district’s largest 3rd provider of summer learning. Yet, Erik had his sights set on even further growth. By Spring 2023, Erik had contracts from the 2 new school districts, an increased contract from the original district, and a family advertising campaign to the general public in the works. The demand was high, and now Erik needed to increase Beaver Creek Reserve’s capacity from 350 kids to 700. Which they easily adjusted with more employees.
Background
With 400 acres of land including 9 miles of trails and over a dozen indoor facilities, having enough space was not a problem, but staffing and efficiency were critical issues Erik needed to address.
Staffing had gone smoothly. From his experience leading Beaver Creek Reserve and other outdoor education organizations before that, Erik was well-versed in how to scale in that area. He’d started this move 2 years in advance, and by the spring of 2023, he had his team trained and ready for the biggest summer yet.
Erik anticipated his efficiency would scale similarly well. He had hired a great office administrator and bought the expensive registration management software used by the majority of other organizations in his industry. Unfortunately, this software turned out to not be feasible for BCR.
Our partnership
Beaver Creek Reserve moved 100% of their camp business – 23 different camps – onto Village just in time for registration opening. When they switched to Village completely, they were an example of how we intend to help every provider of extracurricular activities become more efficient. This past summer they served over 600 families during camps – a 2x increase from last year – whilst their staff’s involvement with families before camps decreased significantly compared to last year.
We had a check-in with Erik and his team recently about summer 2024. Unlike when we met them, nobody is talking about software or backend efficiency. Everybody is talking about doubling yet again.
